Updating Appointment Status

Method 1: From the Appointment List View

This method is useful for updating multiple appointments from a central list.

  1. Navigate to the Calendars tab from the main left-hand menu.
  2. At the top of the calendar page, click on the Appointment List View tab.
  3. Make sure the All filter is selected to see a complete list of past, present, and future appointments.
  4. Locate the appointment you wish to update. In the Status column, click on the current status (e.g., "Confirmed").
  5. A dropdown menu will appear. Select the new status (e.g., "Showed," "No Show," "Invalid," "Canceled").
  6. A confirmation pop-up will appear asking, "Are you sure you want to mark appointment as [new status]?". Click Update.
  7. The status will be updated in the list.

Method 2: From the Contact's Record

This method is ideal when you are already working within a specific client's contact profile.

  1. Navigate to the Contacts tab from the main left-hand menu.
  2. Search for and click on the name of the desired contact to open their record.
  3. On the right side of the screen, you will see an Appointments section listing all of that contact's appointments.
  4. Locate the specific appointment and click the pencil icon (Edit) next to it.
  5. A side panel will open with the Edit Details for the appointment.
  6. Scroll to the bottom of this panel. Under the Status section, select the new status by clicking the appropriate radio button (e.g., "Showed," "No Show").
  7. Click the Save button.

Note: You may need to refresh the page to see the status change reflected in the appointment list within the contact record.


Method 3: From the Conversations View

This is a convenient way to update an appointment while communicating with a client.

  1. Navigate to the Conversations tab from the main left-hand menu.
  2. Select the conversation thread with the relevant contact.
  3. In the right-hand panel, click on the Appointments tab.
  4. You will see a list of the contact's appointments. Click on the one you need to update.
  5. A side panel will open to Edit Details.
  6. At the bottom of the panel, choose the new status (e.g., "Showed," "Canceled") under the Status section.
  7. Click the Save button to confirm the change.

Method 4: From the Main Calendar View

This method allows for quick updates directly from the visual calendar grid.

  1. Navigate to the Calendars tab from the main left-hand menu.
  2. Ensure you are on the main Calendar View. If you have multiple calendars, make sure the correct one is selected and visible under the "Calendars" list on the right.
  3. Locate the appointment block on the calendar grid and click on it.
  4. A View Details side panel will open on the right.
  5. At the bottom of this panel, you will see the Status section (e.g., "Status: Confirmed"). Click on the current status.
  6. A dropdown menu will appear. Select the new status ("Showed," "Canceled," "No Show," etc.).
  7. The status will update automatically. You can close the panel by clicking the 'X' or clicking elsewhere on the screen.
